If your National Scholarship Portal (NSP) status says pending at institute, your form is waiting in a queue at your own school or college. Knowing what that person checks tells you what to send them and when to chase.
Who is the institute nodal officer?
An Institute Nodal Officer (INO) is "the authorized institutional representative responsible for verifying scholarship applications, maintaining institutional information, managing courses and fee structures, and ensuring compliance with NSP and scheme guidelines", according to the NSP Institute FAQ (June 2026). The same document says the Head of Institution (HoI), the senior authority at your college, supervises scholarship verification work.
Where does institute verification sit in the process?
The Department of Social Justice and Empowerment's standard operating procedure for its PM YASASVI school scholarship sets out the overall NSP workflow in eight steps:
You register and submit the application.
Level 1: verification at the institute or school (the INO).
Level 2: verification at district level.
Level 3: verification at state level.
Your bank account is validated by PFMS, the government payment system.
Duplicates are removed and a merit list is made.
A payment file is generated and financially approved.
The money is paid by Direct Benefit Transfer (DBT).
That SOP says the INO's role "becomes very critical in the entire chain of verification process". Details can differ between schemes, so check your own scheme's guidelines.
What does the nodal officer actually check?
The NSP Institute FAQ says the verification module lets the nodal officer "validate student's eligibility and confirms their enrolment in the institution". The officer reviews your application, uploaded documents and fee details, so make sure they match your college's records.
Four outcomes are possible, all listed in the NSP Institute FAQ:
Verify: the form moves up to the district level.
Defect: the form has "incomplete, inconsistent, or incorrect information" and goes back to you to correct and resubmit.
Reject: for ineligible or invalid forms; the FAQ says a rejected application "cannot be reconsidered".
Mark as fake: for forms judged suspicious, duplicate, invalid or fraudulent.
The FAQ also says students get SMS or portal notifications when their form is verified, marked defective, rejected or marked fake.
Why do applications get stuck at the institute?
These are common causes you can check yourself:
Your institute has an extra step. NIT Calicut's 2025-26 notice told students that NSP applications not also submitted through its Google Form "will not be verified". Your college may have a similar form, a desk or a list. Ask.
Missing or unclear documents. The same notice asked for a signed copy of the NSP form, income and caste certificates where applicable, Aadhaar, bank proof in the student's name and a bonafide certificate. Our scholarship documents checklist covers what most schemes ask for.
Details that do not match. A name spelled one way on Aadhaar and another on your marksheet, or a fee figure that differs from the college's list, can lead to a defect.
Institute-side problems. The NSP Institute FAQ says the verification link may not show until the institute completes Face Authentication, HoI approval and KYC activation, and that outdated course details may delay processing. You cannot fix these, but you can mention them.
How do you follow up politely?
Go in person if you can, with printouts. Use this plan:
Day 0: Screenshot your status page and note your application ID.
Same week: Visit the scholarship cell or INO with your printed form and documents.
One week later, if still pending: Send a short email, copying your class teacher or HoD if your college allows it.
If the deadline is close and nothing moves: Ask the principal's office, then contact the NSP helpdesk, listed in the SOP as helpdesk@nsp.gov.in and 0120-6619540.
A script you can adapt:
"Good morning, sir/ma'am. I'm [your name], [course and year], roll number [your roll number]. My NSP application, ID [your ID], shows pending at institute. I have brought my documents in case anything is needed. Could you tell me if something is missing, or roughly when it might be verified? Thank you."
For the email, keep the same words, stay under five lines, and say thank you when it moves.
What happens after the institute verifies?
Your form moves to district and state checks, then PFMS bank validation, per the NSP SOP. If money still does not arrive, check that your bank account is Aadhaar-seeded; NIT Calicut's notice calls this compulsory for receiving the scholarship. See how to fix Aadhaar bank seeding for a scholarship. If you are applying next year, our step-by-step guide to the National Scholarship Portal helps you get it right first time.
