A seat offer feels like the finish line, but it starts a short, strict process. Accepting usually means three things before a cut-off: confirm the seat, pay a fee and get your documents checked. Miss one and the seat can go to someone else. JoSAA, whose rules are public, is the worked case here.
What should you check in a college offer letter?
Read it twice, once with a parent, and copy these items onto one sheet:
Your name, programme, institute and category, exactly as you applied.
The acceptance deadline, with the time of day, not just the date.
What you pay now and later: acceptance fee, admission fee, hostel charges and caution deposit often have separate dates.
Every document asked for, the format (PDF, size, self-attested or not) and whether originals are needed in person.
Any in-person reporting date.
The refund or withdrawal rule, and the page or link where it is written.
A named office, email or helpdesk for questions.
The acceptance fee is not always the full fee. Under the JoSAA 2026 business rules, the seat acceptance fee is ₹30,000, or ₹15,000 for candidates with SC, ST or PwD category tags, and it includes ₹5,000 of JoSAA processing charges. The rest is adjusted against the admission fee, which varies by institute.
Which deadlines can cost you the seat?
The ones that look like paperwork. The JoSAA 2026 business rules list four online reporting steps for an allotted seat: accept it, upload documents, pay the seat acceptance fee and answer any query from the document verification officer. Failing to finish all of them within the round cancels the seat, and you cannot take part in later rounds.
Two details catch families out. Non-payment of the fee counts as rejecting the seat. And if the verification officer raises a query, you must reply online in time; the rules say no separate message is sent, so checking the portal is your job.
State and medical counselling have their own versions. Our guides to JoSAA counselling rounds, choices and documents and NEET UG counselling through MCC and state quota walk through each.
What are the refund rules if you change your mind?
For universities and colleges, the University Grants Commission sets the floor. Its 2024-25 fee refund policy, as reported by All India Radio, requires a full refund for cancellations or migrations up to 30 September, and allows no more than ₹1,000 as a processing fee up to 31 October. Where admissions run past 31 October, the tiered schedule from UGC's October 2018 notification applies. In a letter dated 27 October 2025.pdf), UGC told institutions this policy stays in force for later sessions until it issues a new one, and that violators face punitive action.
That 2018 schedule, summarised by Careers360 when it was announced, refunds 100% if you withdraw 15 or more days before the notified last date of admission (minus processing charges of up to 5% of fees, capped at ₹5,000), 90% in the final 15 days, 80% within 15 days after it, 50% from 16 to 30 days after, and nothing later. Caution money and security deposits are refunded in full. The same notification says students should not have to submit original certificates with the admission form.
Counselling bodies add their own rules. Under JoSAA 2026, withdrawing an accepted seat refunds the acceptance fee minus ₹7,000, removes you from all later JoSAA rounds, and for IIT and IISc seats is allowed only before the last round begins.
How do you confirm your acceptance in writing?
Keep one folder with the allotment letter, every receipt and transaction ID, screenshots of each portal status, and all emails. If something is unclear, write rather than phone:
"Dear Admissions Office, I am [name], application number [number], allotted [programme]. I paid the acceptance fee of ₹[amount] on [date], transaction ID [ID], and uploaded my documents on [date]. Please confirm my seat is accepted and tell me whether anything else is due, with the deadline. Could you also share the refund policy that applies to my admission? Thank you."
If a refund that the UGC policy covers is refused, reply in writing, attach the policy, and ask for the institute's grievance process.
A worked plan: one week from offer to confirmed seat
Day 1: read the letter, fill your one-page sheet and set calendar alarms.
Day 2: scan documents in the required format; check names match across certificates.
Day 3: pay the fee early, never in the last hour, and save the receipt.
Day 4: upload documents, then screenshot the portal status.
Days 5 to 7: check the portal twice daily for queries and answer them the same day.
When confirmed: send the email above and file the reply.
